1. Who is responsible?

2. What data and why?
Orders: name, address, email, phone, products ordered and, where given, your company and VAT number, to deliver and invoice your order.
Contact, demo and studio forms: the details you enter, to reply and follow up.
Newsletter: your email address and first name, only with your consent. Unsubscribe from any email.
Using the site: technical data such as your IP address in our hosting provider's server logs and, only with your consent, statistics and marketing cookies (see point 10).
Visit alert (only with your consent for statistics): our team receives a short internal alert via Pushover (Superblock LLC, USA) with the pages visited, where you came from (e.g. Google or Instagram), the device type and an approximate location based on your IP address. For this, a session note is kept temporarily in your browser (sessionStorage) and is removed when you close the window. Your name and IP address are not stored. Without your consent, no alert is sent.
Customer account: your email address, your profile and addresses (stored with Stripe) and, if you set one, an encrypted hash of your password (Netlify Blobs; we never store the password itself) and the date of your last sign-in. Signing in uses a login cookie (botan_s, 30 days). You can delete your account yourself in My account; accounts without a sign-in for 3 years are erased automatically. Invoices are kept for as long as accounting law requires (10 years).
Reminder after an interrupted order: if you do not complete a payment, we send you one reminder e-mail with your bag, only if you agreed to this (the e-mail box on the Stripe payment page or the newsletter box in your bag). Legal basis: your consent. Withdraw it by replying ‘stop’ or via the newsletter unsubscribe link.
Withdrawal: if you use our online withdrawal function, we process your order number, name, e-mail address, the products, any reason you give and the time of receipt, to handle your withdrawal and be able to prove it (legal obligation). You receive a confirmation by e-mail straight away.
In your browser (localStorage): your bag, your cookie choice, an entered discount code and your chosen shade (botan_cart_v1, botan_consent, botan_code, botan_free_v). These stay on your device and are not sent to us.
We do not knowingly collect sensitive personal data.
3. Legal basis
Performance of the contract (your order), legal obligations (accounting and invoicing), your consent (newsletter, reminder e-mail after an interrupted order and cookies) and our legitimate interest (answering your questions, securing and improving the site).
4. Who do we share data with?
We never sell your data. We only share it with the partners we need: Stripe (payments), bpost (delivery), Billit (invoicing), Brevo / Sendinblue SAS (email and newsletter), Netlify (hosting and forms), Pushover (internal alerts for our team) and, only with your consent, Meta, Google, TikTok and Pinterest (advertising and statistics).
Some partners are outside the European Economic Area. GDPR safeguards then apply, such as the European Commission's standard contractual clauses or an adequacy decision.
5. How long do we keep it?
Invoices, accounting records, orders and withdrawals: 10 years (legal obligation). Customer account: until you delete it or 3 years after your last sign-in. Customer data: for as long as you are a customer, then as long as the law requires. Contact and demo requests: up to 3 years after the last contact. Newsletter: until you unsubscribe. Server logs: briefly, for security.
6. Your rights
You have the right to access, rectify, erase, restrict and port your data and to object (including to direct marketing), and you can withdraw consent at any time. Email info@beauquip.be.
You can also lodge a complaint with the Belgian Data Protection Authority (dataprotectionauthority.be).
7. Security
The site runs over https only. Payments are handled entirely by Stripe; we never see or store card details. We take reasonable technical and organisational measures to protect your data.
8. Links to other sites
We link to other sites, such as beauquip.be, ambrepourelle.be and the sites of BOTAN studios. Their own privacy policies apply there.
9. Changes
We may update this policy. The latest version is always on this page.
10. Cookies
Necessary (no consent needed): your bag and delivery choice (botan_cart_v1, botan_delivery), your cookie choice (botan_consent) and avoiding duplicate purchase notifications (botan_tracked), stored locally in your browser. At checkout, Stripe sets the cookies needed for a secure payment.
Statistics (with consent): Google Analytics 4 (_ga, up to 2 years), to understand how the site is used.
Marketing (with consent): Meta pixel (_fbp and fr, up to 3 months), Google Ads, TikTok pixel and Pinterest tag, to measure ads and make them more relevant. When you order, and only with your consent, we send Meta an encrypted (hashed) message about the purchase.
On your first visit, a banner asks for your consent. Refusing is as easy as accepting. Change your choice any time via ‘Cookie settings’ at the bottom of every page, or delete cookies in your browser.
